I. Sol Society Monthly Membership terms

1. Enrollment and Payment Authorization

Any Sol Society Member must:

  • Be at least eighteen (18) years of age.

  • Complete enrollment online, by phone, or in person.

  • Select an available membership tier and meet any applicable eligibility requirements.

  • Maintain a valid credit or debit card on file for recurring membership payments.

  • Agree to an initial three-month enrollment term. Following completion of the initial term, the membership will automatically continue on a month-to-month basis unless cancelled in accordance with Sol Serene’s membership cancellation policy.

  • Authorize recurring membership dues to be charged on the 1st, 15th, or another mutually agreed-upon monthly billing date.

Membership enrollment, payment authorization, and use of membership benefits are subject to these Terms & Policies, Sol Serene’s Sanctuary Policies, and all required intake forms, consents, and booking requirements.

​

Upon receipt of the initial successful membership payment, the Member will receive one (1) membership credit associated with the membership tier selected at enrollment. Subsequent membership credits will be issued following each successful recurring monthly payment, subject to the terms of the applicable membership tier.

2. Initial Three-Month Enrollment Term

All Sol Society Monthly Memberships require an initial three-month enrollment commitment beginning on the Member’s first scheduled billing date. After the initial three-month term is completed, the membership will automatically continue on a month-to-month basis unless canceled in accordance with Sol Serene’s Membership Cancellation Policy.

Terms of the Initial Enrollment Period:

  • Payment responsibility:  Members are responsible for all three scheduled monthly membership payments during the initial term, whether or not membership credits are redeemed or appointments are booked.

  • Membership credits: One (1) membership credit will be issued following each successful monthly membership payment. Unused credits issued during the initial term may roll over, subject to a maximum account balance of three (3) unused membership credits at any time. Each credit expires ninety (90) days after its original issue date.

  • Credit administration: Membership credits remain subject to all applicable booking, cancellation, transfer, service eligibility, and expiration requirements. Members are responsible for reviewing their available credit balance and expiration dates through the client portal.

  • Approval-only services: Membership credits may not be used for post-operative, surgical, Manual Lymphatic Drainage, or other approval-only services unless the Member or recipient has independently completed all required consultations, intake forms, approvals, and eligibility requirements.

  • Credit transfers: Membership credits may not be transferred to third parties during the initial three-month enrollment term. Transfer privileges, if included with the Member’s tier, become available only after the initial term has been completed and remain subject to the applicable membership terms.

Membership cancellations: 

  1. Early cancellation: A Member who requests cancellation during the initial three-month term remains responsible for the full remaining balance of the commitment. The remaining balance is calculated by multiplying the number of unpaid months remaining in the initial term by the applicable monthly membership rate. Cancellation requests must be submitted in writing by email at least fourteen (14) days before the membership’s transition to month-to-month status.

  2. Use of credits/benefits after cancellation process: After the remaining balance of the three-month enrollment is settled, members have sixty (60) days to use any remaining credits before expiration. All member benefits such as perks, and discounts are revoked once the cancellation request is processed.

Membership Freeze: 

  1. Membership freeze: A membership may be frozen during the initial term only because of a documented significant circumstance or at Sol Serene’s sole discretion. A freeze does not waive, shorten, satisfy, or replace any remaining portion of the initial commitment. The initial enrollment term will be extended by the length of the approved freeze. Freeze request must be received by Sol Serene a minimum of fourteen (14) days before the agreed upon selected billing date.

  2. Use of credits during a membership freeze: During an approved membership freeze, no new membership credits will accrue. Membership benefits—including member discounts, monthly perks, birthday benefits, credit-transfer privileges, and priority booking access—will be suspended for the duration of the freeze. Credits issued before the freeze effective date may be used for eligible services, subject to their original expiration dates, appointment availability, and all intake, cancellation, and service-eligibility requirements.

  • Membership changes: Membership upgrades and downgrades are not permitted during the initial three-month enrollment term.

  • Failed payments: If a scheduled monthly membership payment cannot be successfully processed using the payment method on file, the Member’s membership privileges and access to membership credits will be suspended until the outstanding balance is paid in full. This suspension includes the use of accumulated credits, member discounts, monthly perks, birthday benefits, credit-transfer privileges, and priority booking access.

  • Initial enrollment commitment: A failed payment does not cancel, reduce, or pause the Member’s initial three-month enrollment obligation. During the initial three-month enrollment term, the Member remains responsible for the full remaining balance of the enrollment commitment.

  • Reinstatement: Membership credits, benefits, and account privileges will be reinstated once all failed or outstanding membership payments have been successfully processed. Sol Serene may require the Member to update the payment method on file before reinstatement.

  • Credit expiration: A payment-related suspension does not extend or pause the original expiration date of any previously issued membership credits.

3. Month-to-Month Membership

Upon completion of the initial three-month enrollment period, the member automatically renews to month-to-month contract until cancelled with 14 days' notice

  • Effective date: The month-to-month membership term begins in the fourth month following enrollment. 

  • Payment responsibility: Members remain responsible for all scheduled monthly membership dues, regardless of whether membership credits are redeemed or appointments are booked during the applicable billing period. 

  • Unused Credits: One membership credit is issued following each successful monthly membership payment. Unused credits automatically roll over, subject to a maximum available balance of two (3) unused membership credits at any time. Each membership credit expires ninety (90) days after its original issue date. Credits are subject to all membership booking, cancellation, transfer, and eligibility terms. Members are responsible for monitoring their available credit balance and expiration dates through the client portal.

Transferring Credits: 

  1. Credit transfers: During the month-to-month term, Members may transfer membership credits to eligible third parties, subject to a maximum of three (3) credit transfers per calendar year 

  2. Eligible third parties: An eligible third party must be at least eighteen (18) years of age and must not have any contraindications or other circumstances that would make them ineligible to receive therapeutic massage services. Sol Serene may require the third party to complete any consultation, screening, or intake process necessary to determine service eligibility.

  3. How to request a transfer: Credit transfers cannot be completed online. The Member must request a transfer by phone call, text message, or email before the recipient’s appointment is scheduled or confirmed.

  4. Third-party requirements: A third-party recipient must create a client profile, complete all required intake and consent forms, maintain a valid card on file, and agree to Sol Serene’s applicable operational, booking, cancellation, late-rescheduling, and no-show policies.

  5. Fees and upgrades: The transferred credit applies only to the eligible service covered by the Member’s membership tier. The recipient does not receive the Member’s discount on enhancements or other additional services. If the recipient upgrades the session, extends its duration, or adds enhancements, the recipient is responsible for the remaining balance and any applicable fees at checkout.

  6. Cancellations and forfeiture: Third-party recipients are subject to Sol Serene’s standard cancellation, late-rescheduling, and no-show policies. A late cancellation, late rescheduling, or no-show may result in forfeiture of the transferred membership credit, in addition to any applicable fees.

 

Membership Freeze: 

Freeze request. A Member may request a month-to-month membership freeze in writing at least fourteen (14) days before the Member’s scheduled billing date. Freeze requests are subject to approval by Sol Serene.

  1. Documented significant circumstances: If a Member experiences a documented significant hardship, Sol Serene may approve a membership freeze of up to three (3) months without a monthly freeze fee.

  2. Standard freeze: For a non-emergency or standard freeze request, an approved Member will be charged a $15 monthly freeze fee. Standard freezes may be approved for a maximum of three (3) months.

  3. Extended freeze requests: Because monthly memberships are limited, a freeze that extends beyond the three-month maximum may result in membership termination or may be granted a limited extension at the sole discretion of the Owner. If the membership is terminated because a freeze exceeds the permitted period, re-enrollment will be subject to availability and the membership terms then in effect.

  4. Credits and benefits during a freeze: No new membership credits will accrue during an approved freeze. Membership benefits—including member discounts, monthly perks, birthday benefits, credit-transfer privileges, and priority booking access—will be suspended for the duration of the freeze.

  5. Use of existing credits: Credits issued before the effective date of the freeze may be redeemed for eligible services, subject to their original expiration dates, appointment availability, and all applicable intake, booking, cancellation, and service-eligibility requirements. A membership freeze does not pause or extend the expiration date of previously issued credits.

 

Membership cancellations: 

  1. Cancellation notice: During the month-to-month period, a Member may cancel without a cancellation fee by submitting a written cancellation request at least fourteen (14) days before the Member’s scheduled billing date.

  2. Effective cancellation date: If timely notice is received, cancellation will take effect before the next scheduled membership payment. If notice is received fewer than fourteen (14) days before the billing date, the next scheduled payment may be processed, and cancellation will take effect at the end of that paid billing period.

  3. Credits and benefits during a cancellation: After a cancellation has been processed prior members have sixty (60) days to use any remaining credits before they expire. Membership benefits—including member discounts, monthly perks, birthday benefits, credit-transfer privileges, and priority booking access—will be revoked after the cancellation is processed.

  • Approval-only services: Membership credits may not be used for post-operative, surgical, Manual Lymphatic Drainage, or other approval-only services unless the Member or recipient has independently completed all required consultations, intake forms, approvals, and eligibility requirements.

Membership changes: 

  1. Upgrade or downgrade requests:  Members may request an upgrade or downgrade of their membership tier in writing at least fourteen (14) days before their scheduled billing date.

  2. Approval and availability: Because membership availability is limited, all upgrade and downgrade requests are subject to Owner approval and availability. Any approved change will take effect on the next applicable billing date unless Sol Serene confirms otherwise.

4. Appointment cancellations, late-rescheduling, or no-shows:

All Members are subject to Sol Serene’s appointment cancellation, late-rescheduling, and no-show policies.

  • Timely changes: To cancel or reschedule an appointment without forfeiting a membership credit, the Member must provide at least twenty-four (24) hours’ notice before the scheduled appointment time.

  • Late cancellations and late rescheduling: An appointment canceled or rescheduled fewer than twenty-four (24) hours before the scheduled appointment time will result in forfeiture of one (1) applicable membership credit.

  • No-shows: If a Member fails to attend a scheduled appointment without providing notice, one (1) applicable membership credit will be forfeited.

  • Repeated violations: Repeated late cancellations, late rescheduling, no-shows, or other attendance-policy violations may result in suspension or termination of membership privileges at Sol Serene’s discretion.

  • Additional requirements: Members remain responsible for any applicable fees, account balances, or booking restrictions resulting from repeated attendance-policy violations. Sol Serene may require advance payment or limit future booking access before permitting additional appointments.

5. Failed Payments and Reinstatement

All members are required to pay their monthly dues as agreed upon. Failure to do may result in suspension of privileges.

  • Failed payments: If a scheduled monthly membership payment cannot be successfully processed using the payment method on file, the Member’s membership privileges and access to membership credits will be suspended until the outstanding balance is paid in full. This suspension includes the use of accumulated credits, member discounts, monthly perks, birthday benefits, credit-transfer privileges, and priority booking access.

6. Refund Requests

Membership dues are generally non-refundable, and credits issued have no monetary value.

  • General policy: Membership fees, freeze fees, late-cancellation charges, no-show charges, and other payments are nonrefundable once processed, except where required by applicable law.

  • Unused services or credits: A Member’s decision not to schedule appointments or use available membership credits does not create a right to a refund, credit, or extension. Membership credits remain subject to the applicable expiration, booking, cancellation, and eligibility terms.

  • Initial three-month term: Early cancellation, nonuse of membership benefits, failed payments, or a change in personal circumstances does not relieve the Member of responsibility for the remaining balance of the initial three-month enrollment commitment.

  • Billing errors: If a Member believes they were charged in error, they must notify Sol Serene in writing as soon as possible and provide relevant details. Sol Serene will review the request and correct verified billing errors.

  • Discretionary exceptions: Sol Serene may, but is not obligated to, offer a refund, account credit, or other resolution in exceptional circumstances. Any exception is made on a case-by-case basis and does not establish a future policy or precedent.

  • Refund method: Any approved refund will be returned to the original payment method when possible.

7. Member benefits, discounts and perks

Member Benefits & Perks:

  1. Perk of the Month: Sol Society Members may be eligible for a complimentary monthly session upgrade selected by Sol Serene. The available perk may vary each month and is offered at the Owner’s discretion, while supplies and appointment availability last. Members may choose to opt in or opt out of the monthly perk.

  2. Booking Priority: Members receive priority access to available appointments; however, priority booking does not guarantee a specific date, time, therapist, or service availability. Members are encouraged to schedule appointments in advance, especially for preferred time slots.

  3. Birth Month Upgrade: Members may receive one (1) complimentary 30-minute upgrade during their birth month, subject to appointment availability and any applicable service restrictions. The birthday upgrade must be redeemed during the Member’s birth month and cannot be carried over, transferred, exchanged for cash or credit, or combined with other offers unless approved by Sol Serene.

  4. Changes to benefits: Member perks, upgrades, and other benefits are subject to availability and may be modified, substituted, suspended, or discontinued at Sol Serene’s discretion.

Membership discounts:

  1. Loyalty points: Members earn loyalty points based on the standard, non-discounted price of eligible purchases. Points are promotional, have no cash or monetary value, and may not be sold, transferred, exchanged, or redeemed for cash.

  2. Use of loyalty points: Loyalty points may not be combined with membership discounts, promotional offers, or other discounts unless Sol Serene specifically states otherwise. Where more than one discount or promotion may apply, Sol Serene will apply the single offer that provides the greatest eligible savings, unless otherwise noted. Points can be tracked via online booking portal.

  3. Member discount: Depending on the Member’s selected membership tier, Members may receive a 10% to 20% discount on eligible additional services, session upgrades, enhancements, and add-ons.

  4. Discount exclusions: Membership discounts cannot be combined with other promotions, special offers, packages, gift card purchases, or discounts unless Sol Serene expressly allows it. The membership discount does not apply to the monthly membership fee, unless specifically stated.

  5. When discounts apply: Eligible membership discounts are applied at checkout after completion of the service.

  6. Personal use only: Membership discounts are for the active Member’s personal use only and may not be transferred, shared with, or extended to another person, including a recipient of a transferred membership credit.

8. Membership Credits and Booking:

  1. Credit and discount application: Membership credits and eligible member discounts are applied at checkout after the service has been completed.

  2. Online booking display: When booking online, the appointment system may not display the Member’s available credit or eligible membership discount at the time of booking. This does not affect the Member’s ability to use an eligible credit or discount at checkout, provided all membership and service requirements are met.

  3. Card on file: A valid credit or debit card must be kept on file to schedule an appointment. The card on file is used to reserve the appointment and will not be charged at the time of booking solely because an appointment is scheduled.

  4. Authorized charges: The card on file may be charged for amounts authorized by the Member or permitted under these Terms & Policies, including an outstanding service balance, applicable upgrades or enhancements, late cancellation or no-show charges, and unpaid membership dues.

9. General Terms and Sol Serene Rights:

  1. Right to refuse enrollment: Sol Serene reserves the right to approve or decline any membership enrollment request at its discretion, including when enrollment availability is limited or an applicant does not meet applicable membership, intake, safety, or service-eligibility requirements.

  2. Right to suspend or terminate membership: Sol Serene may suspend or terminate a membership when necessary to protect the safety, comfort, wellbeing, or professional environment of its staff, Members, and guests; to enforce these Terms & Policies; or when a Member engages in conduct that is abusive, threatening, inappropriate, fraudulent, repeatedly disruptive, or otherwise inconsistent with Sol Serene’s policies. Where appropriate, Sol Serene may determine whether any unused credits remain available or are forfeited, subject to applicable law.

  3. Professional boundaries and sexual harassment: Sol Serene provides professional, therapeutic services only. Sexual comments, requests, jokes, gestures, advances, propositions, touching, harassment, intimidation, or other conduct that violates professional boundaries will not be tolerated.

  4. Immediate action: If a Member engages in prohibited conduct, Sol Serene may immediately end the appointment, refuse further service, terminate the membership, require the individual to leave the premises, and prohibit the individual from returning. The Member may remain responsible for the scheduled service fee, membership balance, and any other charges permitted under these Terms & Policies.

  5. Safety and law enforcement: Sol Serene may contact law enforcement or take any other appropriate action when it reasonably believes that someone’s safety is at risk, a crime may have occurred, or an individual refuses to leave the premises when asked.

Ii. Solstice series package terms

1. Enrollment and Payment Authorization

To purchase a Solstice Series Structured Care Plan, an individual must:

  • Be at least eighteen (18) years of age.

  • Complete enrollment online, by phone, or in person.

  • Select an available Care Plan tier and meet all applicable intake, service, and eligibility requirements.

  • Pay the full Care Plan price at the time of purchase using cash or a valid debit or credit card.

  • Complete all included Care Plan sessions within six (6) months of the original purchase date.

Care Plan enrollment, payment authorization, and use of included sessions are subject to these Terms & Policies, Sol Serene’s Sanctuary Policies, and all required intake forms, consents, booking requirements, attendance policies, and service-eligibility requirements.

Upon successful receipt of full payment, the Purchaser will receive four (4) included sessions associated with the selected Solstice Series Care Plan.

2. Care Plan Sessions and Completion Window

  • Included Sessions: Each Solstice Series session may be redeemed only for the specific service and duration included in the selected Care Plan. Sessions are subject to appointment availability and all applicable intake, consent, booking, cancellation, late-rescheduling, no-show, and service-eligibility requirements.

  • Completion Window: All Care Plan sessions must be completed within six (6) months of the original purchase date. Any unused sessions expire at the end of the six-month completion window. Purchasers are responsible for tracking available sessions and the completion date through the client portal or by contacting Sol Serene.

  • No Cash Value: Care Plan sessions have no cash value and may not be redeemed, converted, or exchanged for cash.

  • Nonrefundable: Solstice Series Care Plans are nonrefundable and may not be exchanged for cash. If Sol Serene confirms a billing error, it will correct the error as appropriate.

  • No Extensions for Nonuse: Unused sessions, an inability to schedule a preferred date or time, or a decision not to use the Care Plan do not create a right to a refund, cash value, or extension of the completion window. Sol Serene may consider an extension only in exceptional circumstances and at its sole discretion.

  • Personal Use Only: Care Plan sessions are assigned to the Purchaser’s client profile and are for the Purchaser’s personal use only. Sessions may not be transferred, gifted, sold, shared, assigned, exchanged, or redeemed by another person.

3. Redeeming Care Plan Sessions

  • Scheduling: Purchasers may schedule eligible Care Plan sessions online, in person, by phone, or by contacting Sol Serene through an approved booking method.

  • Session balance: Purchasers may view their remaining included Care Plan sessions through the client portal.

  • Eligibility and Availability: All Care Plan sessions remain subject to appointment availability, required intake and consent forms, service-eligibility requirements, and Sol Serene’s applicable booking, cancellation, late-rescheduling, and no-show policies.

4. Appointment cancellations, late-rescheduling, or no-shows:

All Members are subject to Sol Serene’s appointment cancellation, late-rescheduling, and no-show policies.

  • Timely changes: To cancel or reschedule an appointment without forfeiting an included Care Plan session, the Purchaser must provide at least twenty-four (24) hours’ notice before the scheduled appointment time.

  • Late cancellations and late rescheduling: An appointment canceled or rescheduled fewer than twenty-four (24) hours before the scheduled appointment time will result in forfeiture of the applicable included Care Plan session.

  • No-shows: If a Purchaser does not attend a scheduled appointment and does not provide notice, the included Care Plan session reserved for that appointment will be forfeited.

  • Repeated violations: Repeated late cancellations, late rescheduling, no-shows, or other attendance-policy violations may result in suspension or termination of Care Plan booking privileges at Sol Serene’s discretion.

  • Additional requirements: Purchasers remain responsible for any applicable fees, account balances, or booking restrictions resulting from repeated attendance-policy violations. Sol Serene may require advance payment or limit future booking access before allowing additional appointments.

5. Purchase and Refund

  • Solstice Series Care Plans are nonrefundable and may not be exchanged for cash, except for verified billing errors or as otherwise required by applicable law.

  • Care Plan sessions have no cash value and may not be redeemed, converted, substituted, or applied toward another service, product, package, membership, or person.

  • A decision not to use included sessions or an inability to schedule a preferred appointment does not create a right to a refund or extension of the six-month completion window.

6. Nature of the Care Plan

A Solstice Series is a prepaid, structured series of specifically identified therapeutic services assigned to the Purchaser. It is not a gift card, gift certificate, store credit, cash-value voucher, or general service credit.

7. Scope of Services

  • Therapeutic Services Only: Care Plan sessions provide professional therapeutic bodywork for relaxation, tension relief, and wellness support. They do not diagnose, treat, or cure any medical condition, and are not a substitute for medical care.

  • No Medical Advice: Sol Serene does not provide medical diagnoses or treatment plans. Clients should consult a qualified healthcare provider for medical concerns.

  • Professional Boundaries: All sessions are professional, therapeutic, and nonsexual. Draping and professional-boundary standards apply at all times.

8. Booking, Attendance, and Card on File

  • Advance Booking: Purchasers should schedule sessions early enough to complete the Care Plan within the six-month completion window.

  • Card on File: A valid card on file is required to reserve appointments and is not charged solely because an appointment is booked.

  • Attendance: Care Plan sessions are subject to the 24-hour cancellation, late-rescheduling, and no-show policy described above.

9. Purchaser Responsibilities

  • Health Updates: Report any changes in health, medications, injuries, pregnancy, or conditions before each session.

  • Communication: Communicate comfort, pressure preferences, and any discomfort during a session.

  • Compliance: Follow Sol Serene's Sanctuary Policies, hygiene expectations, and professional-conduct standards.

10. Changes to the Care Plan

  • No Substitutions: Included sessions cannot be substituted, exchanged, or applied toward other services, products, packages, memberships, or another person.

  • Discontinued Services: If a specific service in a Care Plan becomes unavailable, Sol Serene may offer an equivalent eligible service or discuss options with the Purchaser.

  • Changes to Program: Sol Serene may modify scheduling procedures and operational practices as needed; the specific sessions purchased remain governed by the terms in effect at purchase.

11. Waiver and Assumption of Risk

  • Acknowledgment of Risk: The Purchaser acknowledges that therapeutic massage and bodywork carry inherent risks, including temporary soreness, bruising, or discomfort, and agrees to receive services at their own risk.

  • Release of Liability: To the fullest extent permitted by law, the Purchaser releases Sol Serene and its staff from liability for claims arising from the services, except where caused by Sol Serene's gross negligence or intentional misconduct.

  • Separate Waiver: Sol Serene may require a separate signed consent and waiver form before the first session.

12. General Terms and Sol Serene Rights

  • Right to Refuse Enrollment: Sol Serene reserves the right to approve or decline any Care Plan enrollment request at its discretion, including when enrollment availability is limited or an applicant does not meet applicable Care Plan, intake, health-history, safety, or service-eligibility requirements.

  • Right to Suspend or Terminate a Care Plan: Sol Serene may suspend or terminate a Care Plan when necessary to protect the safety, comfort, wellbeing, or professional environment of its staff, Purchasers, and guests; to enforce these Terms & Policies; or when a Purchaser engages in abusive, threatening, inappropriate, fraudulent, repeatedly disruptive, or otherwise policy-inconsistent conduct. Where appropriate, Sol Serene may determine whether any unused sessions remain available or are forfeited, consistent with these Terms & Policies.

  • Professional Boundaries and Sexual Harassment: Sol Serene provides professional, therapeutic services only. Sexual comments, requests, jokes, gestures, advances, propositions, touching, harassment, intimidation, or other conduct that violates professional boundaries will not be tolerated.
